Getting Started

My employer has purchased two pockets, which will be used by warehouse employees as they discuss machine operations and maintenance procedures. My boss wants these transcribed conversations sent to my email to edit and compile in a manual. I’ve been given the task of setting up the new devices. Since I wont be the one using the pocket directly, I would not install the app on my own phone, correct? If the device will be used by different individuals on any given day, would each person download the app and create their own pocket account with their own email address, or would they set up the app with the email used at purchase, or the email to which data should be sent? What steps do I need to take to have my email address receive all data recorded on each pocket device? Sorry if any of this is confusing. Thanks in advance!

Hi Kristen, welcome to the Pocket community!

Since the Pockets will be shared by rotating employees, the employees do not each need to create a personal Pocket account. We recommend setting up each physical Pocket with its own dedicated company-managed account and email address. The email used to purchase the devices does not determine which accounts they must use.

Someone will need the Pocket app to complete setup and sync recordings. This can be you, or the app can be installed on company-managed phones or computers used with each device. Avoid linking the devices to employees’ personal accounts, since recordings remain with the account that owns the device.

To receive the summaries at your email address:

  1. Sign into each device’s assigned account.
  2. Open Settings > Summary.
  3. Enable Send summaries to email and enter your email address.

That option depends on the account’s plan and app version. It sends generated summaries, not necessarily the complete raw transcript. Full transcripts can be viewed under the recording’s Source tab and exported or shared for editing.

So the cleanest setup is:

• Pocket 1 → dedicated company account 1
• Pocket 2 → dedicated company account 2
• Both accounts → your email as the summary destination

Since these are workplace recordings, you should also follow your company’s notice, consent, and data-handling requirements.

Thank you for the help. I have follow up questions. I have downloaded the app to my phone and created a company account. Does each person who uses the Pocket need the app on their phone for it to function properly? Or can it be used by anyone and then given to me when they’re done and I sync it with my phone? Also, can I use the same email address to set up each Pocket, or does each one need a different email address? Thanks!

Hi Kristen! The employees do not need the app on their phones. Pocket can record independently without a phone or internet connection, so anyone can use it and return it to you afterward. You can then open the app and sync the stored recordings. Just sync regularly so the device has enough storage and battery.

Each Pocket needs its own Pocket account with a different email address. The same email/account cannot be used to set up both devices. We recommend two company-managed addresses, such as pocket1@company.com and pocket2@company.com, rather than employees’ personal emails.

The recordings from each device will remain in its assigned account and will not merge into one library. If available on your plan, you can set both accounts to send their summaries to the same email address under Settings > Summary > Send summaries to email.

I understand each Pocket needs its own account and email. Can I do that through the app on my phone or does each Pocket account need to be created on different devices?

We recommend their own device, as you would need to switch accounts and pair devices each time.
